Enterprise Features Overview

This document outlines the enterprise-level features and configurations available to enhance your team's experience and streamline your workflow.


1. Access and Security

1.1 Single Sign-On (SSO) via SAML

Gain centralized control over application access through SSO with SAML integration. When enabled, user authentication is managed through your organization's identity provider. This restricts logins to the SSO portal, disabling access via email, Microsoft, or Google OAuth.

How it works:

  1. A user clicks the SSO login option.

  2. They enter their email address.

  3. They are redirected to your company's portal for authentication.

  4. Upon successful login, they are granted access to the application.

1.2 SCIM Provisioning

Automate user provisioning and de-provisioning by configuring SCIM alongside SSO. This ensures that user access is automatically managed based on their status in your identity provider, streamlining user lifecycle management.


2. User and Team Configuration

2.1 Onboarding and Default Settings

Customize the initial experience for new users by pre-configuring their default settings upon onboarding.

Define the default behavior for meeting automation for new users. Options include:

  • Automatically add to all meetings.

  • Add only to meetings they organize.

  • Add to internal or external meetings only.

Control the level of autonomy users have over meeting automation. You can restrict the available options, for example, limiting users to only adding to meetings they organize.

2.2 Meeting Note Distribution

Control how meeting notes are shared with participants.

Set the default sharing option for meeting notes:

  • Share with everyone on the meeting invitation.

  • Share only with internal company participants.

  • Share only with the person who added Spinach to the meeting.

You can also disable the option to email notes to all participants after a meeting.

Enforce a review process by requiring users to edit and approve meeting notes before they are distributed.


3. Customization and Branding

3.1 Branding Controls

Maintain brand consistency across your organization.

  • Locked Brand Image and Notetaker Name: Lock a specific brand image and notetaker name for the entire enterprise account, preventing individual users from changing it.

3.2 Customized Messaging

Tailor the in-meeting chat message sent when Spinach joins a meeting. This is ideal for compliance teams who need to include specific information regarding recording, terms of service, or other legal notices.


4. Meeting and Data Management

4.1 Meeting Integration Control

Define how Spinach can be added to meetings.

  • Restrict to Meeting Organizers: Configure the system to only allow meeting organizers to add Spinach to their meetings.

  • Open access: Allow users to add Spinach to any meeting.

4.2 Data Retention Policy

Define a data retention policy to meet your organization's compliance requirements. The default retention period is one year, but can be customized to periods such as 30 days or one quarter.


5. Administration and Insights

5.1 Admin Dashboard

The admin dashboard provides centralized control and visibility into your team's usage.

Access real-time, customizable reports to gain insights into:

  • Meeting frequency and attendance.

  • User activity and settings.

  • Time spent in meetings.

Work with our team to identify the most important metrics for your organization and we will provide them in a real-time dashboard.

For compliance purposes, designated administrators can be granted access to:

  • View any meeting's notes.

  • Delete any meeting's notes.

5.2 User and Team Linking

  • Manager Access: Link managers to their direct reports, granting them access to their team's meetings and notes.

  • Agent Enablement: Enable specific agents for certain users to facilitate monitoring, support, or analysis for different teams.
